Valiant Gym — Safeguarding Policy
(Children & Adults at Risk)


Purpose & scope

We are committed to a safe, inclusive environment. This policy applies to all staff, coaches, volunteers, contractors, and visitors during any Valiant activity on- or off-site.


Principles

  • Welfare first; zero tolerance for abuse/neglect.
  • Safeguarding is everyone’s responsibility.
  • Concerns are reported promptly; confidentiality is respected on a need-to-know basis.

Safer recruitment

  • ID and reference checks; role-appropriate criminal record/DBS checks 
  • Induction includes code of conduct and reporting procedure.


Code of conduct

  • Maintain professional boundaries; appropriate language and touch only for coaching and with consent.
  • No 1-to-1 with a minor in a closed/private space; keep doors open/visible.
  • No personal transport of minors.
  • Use official channels for communications; no private messaging/social media with minors.
  • Changing rooms: staff do not use at the same time as minors; supervise from outside where needed.
  • No filming/photography without prior written consent (parent/guardian for U18s). No name tags or geotags for minors.


Under-18 participation

  • Parental or School consent required for membership, trials, events, images, and medical/emergency treatment.
  • Suitable programming, equipment, and supervision; aim for two responsible adults present where possible.


Risk management & safety

  • Activity and venue risk assessments reviewed regularly.
  • First-aid kit on site; at least one trained first-aider present during junior sessions.
  • All injuries, near misses, and behavioral concerns recorded on the incident log the same day.


Recognising & reporting concerns

  • If a child/adult is in immediate danger: call 999.
  • Otherwise, report to the DSL as soon as possible (same day).
  • Do not investigate yourself. Record facts (who/what/when/where), sign and date.
  • DSL will decide on referral to the local safeguarding authority and notify parents/guardians where appropriate.


Data protection

  • Records are accurate, dated, stored securely, and retained per legal guidance. Access is restricted.


Training

  • All staff: safeguarding induction before work with members; refresher at least every 2 years.
  • DSL/Deputy: enhanced training and annual update.


Whistleblowing

  • Concerns about staff/club practices can be raised with the DSL, Deputy, senior management, or directly with the safeguarding authority. No victimisation for good-faith reports.


Review

  • Policy reviewed annually or after any significant incident.
